Track and Field Section - Young Athletes League - Two League Manager vacancies

With immediate effect, there is a requirement for one new League  Manager (girls) and one new League Manager (boys) for the Young Athletes League.  Although duties will not commence until the 2010 season it is important that volunteers are in place whilst the current managers are available to tutor their replacements. 

Parental support is essential if we are to enable our young athletes to compete next year.  Will all parents of young athletes please, therefore, give these posts careful consideration.  Full (free) training will be given and support will always be available.  Please remember that in our Club no one is expected to work alone.  We work as a team.

   The managers are responsible for:

  • selection of athletes for League events
  • provisional booking of Quibell Park for each YAL HOME meeting
  • confirmation booking of Quibell Park for each YAL HOME meeting
  • providing details of each YAL HOME Meeting to the Meetings Secretary
  • providing detail of those Officials required to the Officials Secreataries or, when necessary, arranging for others to carry out this task
  • arranging the provision of Official's meals
  • the provision of information to the Website Officers

 

Results Input Operator for the Young Athletes League event on 3rd May 2009 at Scunthorpe

Two vacancies; Results Input Operator and Assistant Results Input Operator

This job involves inputting athlete’s names and club details into an Excel spreadsheet and adding the results as they come in during the match. Volunteers will need to present between 10.30 a.m. and 4.30 p.m. to handle the team data sheets as they are completed. Volunteers should, ideally, possess personal computer skills and be familiar with the spreadsheet programme.  Gary Spindley will be available prior to this event and will demonstrate the methodology and provide an insight into the day’s operations.

 

Press Manager

Currently the Press Officer’s and the Communications Officer’s roles have been combined but it is intended to split these roles, as a trial measure, during the remainder of 2009 to enable increased athletics coverage.

Commencing in May 2009, the Scunthorpe Telegraph will allocate publication space for the Scunthorpe and district Athletic Club.  Road, Athletics team, League and Events Managers will arrange reporting and (where possible) the photographing, of fixtures to a schedule agreed with the Press Manager.  The Press Manager’s role will be to ensure that information is made available to the Scunthorpe Telegraph Sports Section in sufficient time to meet publication requirements.  It is anticipated that the Press Manager will be seconded to the Executive Committee during 2009.

The Press Manager will be required to

  • communicate, at all levels, in a friendly manner
  • ensure that agreed deadlines are met

Data input operators - 4 posts.   The Track and Field section are seeking 2 more people to input data at a 2 Day Multi Event on Sunday 30th August and Monday 31st August  2009.  Basic computer skills are all that is required.  A familiarity with Microsoft Excel would be useful but is not essential.  Amanda Robinson and Steve Heslop have already volunteered to cover 2 of these posts.

Result Runners - 2 posts

The Track and Field section are seeking 2 people to collect results data (on track and field cards) and transfer this to data input operators, at a 2 Day Multi Event on Sunday 30th August and Monday 31st August 2009.   No skills are required.

CRB Application Verifiier - 1 post (Currently 1 volunteer - Mandy Geddes)

The Track and Field section are seeking a CRB Application Verifiier to assist the Child Protection Officer.  The duties of the CRB Application Verifier are to check the validity of documents provided by applicants and to maintain simple records of checks undertaken and outstanding.  No special skills are are required. 

Track and Field Statistical Assistant - 1 post (but can be increased to 2 if required) Currently 1 volunteer - Melanie Bullock.

The Track and Field section are seeking a Track and Field Statistical Assistant to ‘shadow’ the Track and Field Statistician in preparation for taking over the Statistician’s role at the end of the season.  Basic computer skills and a knowledge of Microsoft Excel, or other similar spreadsheet programme, is required.

Executive Committee

Club Chairperson

The duties of the Club Chairman are to:

  • manage the affairs of the Scunthorpe and District Athletic Club
  • chair management committee meetings, ensuring that they are properly conducted, that everyone is involved in discussion or decision making and that the committee has all relevant information for making decisions
  • ensure that agendas are set and meetings called in line with the constitution
  • chair additional meetings when the committee agrees them to be necessary
  • ensure that all decisions taken are acted upon
  • liaise with committee members and other staff, and provide or arrange support as required
  • take an active part in resolving conflict within the committee in the best interests of the club and its members
  • arrange that the Club is represented externally either in person or by nominating an appropriate official

Vice Chairperson

The duties of the Vice Chairperson are to:

  • advise and assist the Chairperson
  • takeover the duties of the Chairperson, in the absence of the Chairperson

Club Secretary

The duties of the Club Secretary are to:

  • be the first point of contact (postal/ email etc) for club business
  • take minutes at executive committee meetings
  • forward/ disseminate information as appropriate
  • any other duties commensurate with the post

 

Club Captain Cross Country and Endurance

The Cross Country Coordinator is responsible for the overall management of the Annual  Quibell Park Cross Country, the Complete Runner and Lincolnshire Leagues and the Road Relays.  The Cross Country Coordinator will arrange for the management of each of the Cross Country Leagues and the Road Relays. 

Responsible for

  • provisional booking of Quibell Park for the Annual HOME Cross Country Meeting
  • confirmation booking of Quibell Park for the Annual HOME Cross Country Meeting
  • providing details of the the Annual HOME Cross Country Meeting to the Meetings Secretary
  • providing detail of those Officials and Marshalls required to the Officials Secreataries or, when necessary, arranging for others to carry out this task
  • arranging the provision of canteen facilities and Official's meals
  • the provision of information to the Website Officers
  • management of the Complete Runner league and overseer of the operation of the Lincolnshire Cross Country league

Communication, Press and Publicity Officer

The Communications, Press and Publicity Officer is responsible for:

  • the creation of a monthly newsletter
  • promoting the athletic club
  • communicating news and successes to the local press (this element requires an input from League and Event managers)
  • communicating news and successes to club members via the website
  • managing the Club's website
  • managing or carrying out inductions, for new starters, at Quibell Park, at a frequency to be determined by the committee
  • arranging 'athletic' related photographic work in the Scunthorpe and District area

 

Website Officer

The Website Officer is responsible for arranging the promulgation of data on the Club's website.

 

Road Committee

Chairperson Road Section    

The Road Section Chairman is responsible for the organisation and administration of all Road Running activities and will arrange for the election of appropriate Officers.

Track and Field Committee

Chairperson Track and Field Section

The Road Section Chairman is responsible for the organisation and administration of all Road Running activities and will arrange for the election of appropriate Officers.

Catering Manager (may not be needed if North Lincs Council provide their own catering

Colours Officer

Child Protection Officer

Equipment Manager, Quibell Park

The Track and Field Equipment Manager, Quibell Park will be required to:

  • identify and record all equipment owned by the Club
  • maintain a record of all equipment on loan
  • carry out an annual valuation with the Track and Field Treasurer
  • liaise with coaches to identify equipment needs
  • liaise with North Lincolnshire Council ground staff to ensure that externally provided equipment is available when needed
  • communicate effectively, at all levels, in a friendly manner

Trophy Manager

The Trophy Manager is responsible for:

  • ensuring that trophies are available for presentation at specific Scunthorpe hosted meetings throughout the year
  • making an inventory of all trophies held
  • verifying records of trophies awarded, on loan, for one year
  • purchasing new and replacement trophies
  • arranging for engraving, or other such markings, in good time for planned presentations

The Trophy Manager may be required to attend Track and Field Committee meetings if requested to do so by the Track and Field Chairman.

Although the position is open to any club member it may be better suited to a non-athlete with administration and / or auditing skills and the ability to relate with others.

Volunteer Coordinator

The Volunteer Coordinator is responsible for:

  • managing and  maintaining a list of those non-committee members who have offered their services or stated a desire to help out at various events during the year
  • Creating an email contact list, obtaining agreement for publication and forwarding a copy of the list to the Web Officers for inclusion on the Volunteer Section of the Scunthorpe and District Athletics Club website
  • promoting the need for and assisting new volunteers

Fundraising and Social Events Officer

The Fundraising and Social Events Officer is responsible for:

  • approaching individuals and businesses to request and obtain contributions or sponsorships to be used for purposes agreed by the Committee
  • arranging the Track and Field Presentation Night, assisting with the Road Section Presentation Night if requested to do so and arranging that at least one other Social Event is held during the year

Disabled Athletes Manager

The Disabled Athletes Manager is responsible for establishing a Disabled Athlete's Programme, and for liaising with those organisations and parents/guardians involved with Disabled people seeking to participate in the Club's activities

Youth Section Representatives

The Youth Section Representative is responsibly for liaising with young people to ascertain their understanding of the Club's activities and management to determine if any changes or additions should be advised

Head Coach

The Head Coach is responsible for the formation of a Coaches Committee – All graded coaches will have membership of this committee. The coaches will elect a Chairperson and Secretary and nominate three members to the Management Committee. They will meet at least every three Months.

Senior League Managers

Responsible for

  • selection of athletes for League events

  • confirmation booking of Quibell Park for each Senior League HOME meeting
  • providing details of each HOME Senior League Meeting to the Meetings Secretary

Junior League Managers

Responsible for

  • selection of athletes for League events

  • providing details of each Junior League HOME Meeting to the Meetings Secretary
  • providing detail of those Officials required to the Officials Secreataries or, when necessary, arranging for others to carry out this task

Young Athletes League Managers

Responsible for

  • selection of athletes for League events

  • providing details of each YAL HOME Meeting to the Meetings Secretary

Events Promotions Officer

  • enters athletes into meetings or
  • encourages/advises athletes to enter meetings

Meetings Secretary

  • Creates Entry Forms and Programmes for HOME meetings organised by the Club
  • Receives entries to HOME meetings organised by the club; Winter Warm Up, Wally McLeish, Cross Country etc.

Officials Secretaries

The Officials Secretaries are responsible for arranging internal and external Officials for meetings in accordance with HOME or AWAY criteria

Registration and Subscriptions Officer

Responsible for:

  • the Registration of all Club Members attending training at Quibell Park
  • the collection of Training fees
